Do you dread the performance appraisal process? If you do, you are not alone. Next to letting someone go, the performance appraisal is rated as the least liked job of a manager. Most people I work with do not enjoy the performance review process and they put it off as long as they can.
Why is it so difficult to conduct a performance review? Unfortunately it is usually due to poor planning, lack of supporting structures and insufficient training in the performance review process.
Last week, when I asked a manager what documentation she had to support her performance review process, I got a blank stare in return. This is not uncommon. Without a performance review process and supporting documentation, performance reviews become a waste of the managers time and a waste of the employees time, not to mention can lead to some very bad practices. Without supports, a manager can become quite anxious about the performance review process.
What will help reduce the anxiety of conducting a performance review?
1.Have a clearly defined performance management process in place. This will give you a guide post for the steps to be followed.
2.Have up to date job descriptions in place. This is a cornerstone for many of your human resources functions. For your performance review, it lends valuable information.
3.Know the rater biases and how they can influence the evaluation process.
4.Get trained in how to conduct performance reviews
5.Ensure you have the documentation that captures necessary and relevant information.
6.Use the information you gather in a performance review to the benefit of the company.
7.Involve the employee in the process.
8.Understand that this is a part of the process for ongoing development of the individual and the organization.
After setting up the process with my client and accessing & developing the required documentation, she was much more comfortable doing performance appraisals. Simply having the supporting structures in place and knowing how to use the tools gave her a more positive perspective on the process and increased her confidence level.
